How resume screening works for bookkeepers
Bookkeeping postings are a list of tasks and platforms. Name the software exactly: QuickBooks Online or Desktop, Xero, Sage Intacct, NetSuite. Name the tasks in the usual terms: accounts payable, accounts receivable, bank reconciliation, general ledger, month-end and year-end close.
If you hold CPB or CB certification or a QuickBooks ProAdvisor credential, give it a clear section with the full name. State scope: how many clients or entities, what volume of transactions, whether you were full-charge. Payroll processing, sales tax and 1099 preparation are separate searches, so add them if they were part of the work, in a plain template.
Terms to compare with a vacancy for bookkeepers
Include the terms you can genuinely defend in an interview — then paste the actual job posting above to see your exact gaps.
CPB (Certified Public Bookkeeper)
NACPB credential — write both the acronym and the full name; some recruiters search one, some the other.
CB (Certified Bookkeeper)
AIPB credential — the other major national bookkeeping certification; list the issuing body (American Institute of Professional Bookkeepers).
QuickBooks Online (QBO)
Searched separately from QuickBooks Desktop — specify which version(s) you use; many postings require QBO specifically.
QuickBooks Desktop (QBDT)
Older but still common in manufacturing and retail environments; name it explicitly if applicable.
QuickBooks ProAdvisor
Intuit certification searched by small-business employers and CPA firms as a proxy for QuickBooks depth.
Xero
The leading cloud accounting platform for small businesses outside North America and growing in the US — name it if certified.
Sage / Sage Intacct
Searched in nonprofit and mid-market environments; specify whether it's Sage 50, Sage 100, or Sage Intacct.
NetSuite
Oracle ERP platform searched for mid-market and e-commerce bookkeeping roles.
Accounts Payable (AP)
One of the two foundational bookkeeping functions — use both the acronym and the phrase.
Accounts Receivable (AR)
Include both forms and add volume (number of accounts, dollar value managed) for context.
Bank reconciliation
Core function searched verbatim — a resume that only says 'balanced accounts' misses this search.
General ledger (GL)
Foundational accounting term — write it out plus the abbreviation.
Payroll processing
Searched alongside payroll platform names — ADP, Gusto, Paychex — for full-charge bookkeeper roles.

Compare this term with the actual vacancy. Include it only if it accurately describes your experience or a qualification you hold; this checklist does not measure recruiter search frequency.
Month-end close
A specific process phrase searched for full-charge and accounting department bookkeeper roles.
Year-end close
Paired with 'month-end' in postings for senior and full-service bookkeeping positions.
1099 preparation
Federal contractor reporting task searched for bookkeepers who handle contractor payments.
Sales tax compliance
A specific function searched in retail and e-commerce bookkeeping postings.
Financial statements
P&L, balance sheet, and cash flow statement preparation — name each type explicitly.
Microsoft Excel
Still searched explicitly; add 'VLOOKUP,' 'pivot tables,' or 'Power Query' to signal depth.
Full-charge bookkeeper
A specific title/scope term searched in single-staff accounting roles where one person handles everything.
Resume mistakes that hurt bookkeepers
Naming the category instead of the product
'Accounting software,' 'payroll system,' and 'cloud-based tools' match nothing in a keyword search. Recruiters and ATS filters search for product names: QuickBooks Online, Xero, Gusto, ADP Run, Sage Intacct. Write the exact product name, and specify the version or tier where relevant.
Missing the CPB / CB credential section
Both the CPB (NACPB) and CB (AIPB) are verified credentials that serve as knockout filters for roles requiring certified bookkeepers. If you hold one, put it in a dedicated Certifications section near the top — not buried inside an Education or Skills paragraph — with the issuing body and year.
Generic AP/AR bullets with no scale
'Managed accounts payable and receivable' appears on nearly every bookkeeping resume. Add the number of vendors, invoice volume, or dollar amount managed: 'Processed 400+ vendor invoices monthly in QuickBooks Online, maintaining a 98% on-time payment rate.' Scale turns a generic duty into a searchable, credible bullet.
Omitting payroll processing when you've done it
Full-charge bookkeeper roles almost always include payroll, but candidates often omit the platform and scope. If you've run payroll in Gusto, Paychex, or ADP, state the platform, the number of employees, and the frequency — that combination is what a recruiter is actually searching for.
Leaving out month-end and year-end close language
'Maintained books' and 'kept financials current' don't match searches for 'month-end close' or 'year-end close.' These are specific process terms searched in postings for any bookkeeper expected to produce reportable financials on a regular cycle.
Two-column or designed templates
Small-business bookkeeping resumes frequently use visually styled templates from Canva or Etsy. Multi-column layouts, skill bars, and text boxes cause parsers to merge columns or skip sections — your QuickBooks certification can vanish from the database even if it looks great on screen. Use a single-column, plain-text-friendly format.

Frequently asked questions
Is the CPB or the CB more valuable on a resume?
Both are nationally recognized and searched, but neither is universally dominant — it depends on the employer. The CPB (Certified Public Bookkeeper, issued by NACPB) is more widely promoted in recent years and is often associated with QuickBooks proficiency. The CB (Certified Bookkeeper, issued by AIPB) has been around longer and is recognized in traditional accounting environments. If you hold either, list it prominently with the issuing organization. If you hold neither, the QuickBooks ProAdvisor certification is the next most-searched credential for small-business bookkeeping roles.
Should I list QuickBooks Online and QuickBooks Desktop separately?
Yes — they are different products and recruiters search them as distinct terms. A job posting that requires 'QuickBooks Online experience' is looking for cloud-based, multi-user, subscription-model proficiency; one asking for 'QuickBooks Desktop' often indicates a manufacturing or retail environment still on the legacy platform. If you've used both, list both explicitly in your skills section.
How long should a bookkeeper resume be?
One page for candidates with under five years of experience; two pages is appropriate once you have a broader software stack, certifications, and multiple client or employer engagements to show. Accounting staffing firms process high volumes of resumes — a clean, parseable one-pager often gets more traction than a two-pager that takes extra scanning time, but never sacrifice key credentials to fit a page limit.
